paths (the string of folders, sub-folders, and a file name that take you to your file) that are unmanageably long.
 
Windows makes it easy to widen columns and see long file names, so make them long enough to be meaningful. But keep in mind that some programs do have limitations on the number of characters in a path. We learned the hard way when we discovered two big problems with our training CDs for an important client. The videos we embedded into the PowerPoint slides wouldn’t play, and the file names on the CDs became truncated – both because our file paths were way too long.
 
One final tip...
Once you’ve set up your efficient new filing system, be sure to move those old data files from My Documents and other old storage areas. If half your work is in one place, and the other half is in another, you’ve just defeated the purpose – and, once you start using your new system, you might forget you still have files in those old folders.
 
And remember not to move any application files – your programs probably won’t work if you do. Use Windows Explorer to view & sort your files by Type to be sure you only move data files.
 
Summing it all up
Your electronic filing system should be logical and easy for YOU to use – otherwise you won’t stick with it. Take some time to plan it out first, and then file away!
